Annual Membership Meetings

  • All in-person SMSA meetings must follow the current CDC Guidelines for COVID.

  • The Annual Meeting is normally held in September - October with two weeks notice to members.

  • The in-person venue is usually at the New Market Community Center, 9184 Sevier Rd., New Market, VA 22844, with virtual access.

  • Virtual access is provided through: Either Google Meet or Zoom video conferencing and dial-in phone access.

  • Website support provides the date, time, location, agenda, board nominations and meeting handouts.

  • Meeting handouts are sent out two weeks in advance by email, or if requested, through US mail.

  • Members unable to attend may ask another member to act as their proxy.  Proxy forms are mailed out to all members in advance of the meeting.

  • A quorum representing 15 votes in the Association, whether in person or by proxy is required for all membership meetings.

  • Special Membership Meetings

  • The President may call a Special Membership Meeting at any time.

  • The President must call a Special Membership Meeting upon the request of 15 members.
